To All Recreation Facility Users re: COVID-19 Certificate Protocol


You may be aware that as of Sept 22, 2021, in addition to wearing a mask and passing the health screening questions, you will also need to provide photo identification and documentation as proof you are fully vaccinated. NOTE: Fully vaccinated means 14 days after you have received your second vaccine dosage. Providing proof of vaccination will apply to every single person that is eligible for the vaccine and wishes to enter a Recreation Facility.
Youth age 12 and under are exempt from vaccinated protocol, however, must be accompanied by an adult who does comply with all protocol.

The Tavistock and District Recreation Centre will be strictly following this protocol. Therefore, there will be more changes taking effect on November 1, 2021. If you are an ice time renter or attending any activity at the Tavistock and District Recreation Centre, you should be aware of the following and fully prepared to comply:

1. Everyone entering should
a. Scan the QR code at the Arena entrance for contact tracing. Complete the required information. Before getting in line to enter.
b. Show the green check mark with TODAYS date to the front door attendant.
c. Provide proof of being fully vaccinated and Photo ID.
2. If you do not or are unable to scan the QR code for contact tracing. You will be asked to go through the line for paper documentation of contact tracing.
3. Covid-19 screening protocol will need to be verified every time a person enters. We are asking that user groups continue to provide assistance with this process at the front door, in order to educate people on the process and reduce wait times for entry.
4. Absolutely all entry and exit must be done through the front doors of the Facility Lobby. Some exemptions to this are available, if the user group wishes to provide additional staffing. All protocol still needs to be followed. This must be approved in advance by facility staff.
5. Illegal entry through falsification of documents or disregard for protocol will be subject to cancelled ice time, with no refund. On account renters will still be invoiced for ice time that is cancelled due to non-compliance. In addition, individuals involved can be expelled for an extended period of time.
6. Staff can provide guidance and some documentation to assist with this process and educate on what the expectations are. Blank forms will be available to document protocol as every person enters.
Forms must include (see attached sample / template if you wish to use it):
 Renter name / group
 Front door attendant name and signature
 Date and time of rental
 Name and phone number for each person coming in for the rental. (Player, Parent, Spectator, Staff, etc.)
 A column to check off attendance and Health screening passed
 A column to check off that the individual’s proof of vaccination was verified.
All ice time bookings must provide the following:
 A name and contact phone number
 We need to know what the ice activity will be for
 Approximately how many people including participants and guardians.
 You will ensure that everyone in your group will comply with all Covid-19 protocol in effect at the time of your rental.

RENTAL PROTOCOL FOR ALL FACILITY RENTERS:
1. FACILITY RENTERS / USERGROUPS MUST NOTIFY ALL PARTICIPANT ASSOCIATED WITH THEIR RENTAL OF THE PROTOCOL.
2. Payment by cash or cheque must be made before you go on the ice. We ask that if you have multiple bookings, you pay for them all at once to minimize contact with staff.
3. Proof of vaccination must be verified and COVID-19 contact tracing must be documented on the Facilities standard form or with the use of the QR code every time a person enters the facility. Forms are available on the Lobby Bulletin Board.
4. DO NOT ENTER THE FACILITY IF YOU ARE FEELING UNWELL OR HAVE COVID-19 SYMPTOMS.
5. Building occupancy Limits have been Lifted as of Oct 15, 2021
6. Face masks are mandatory when inside any public facility. These need to be provided by each individual. Properly fitted mask is to remain in place at all times, including and especially in the dressing rooms. Masks are optional for on ice activity. Mask can be removed immediately before putting helmet on and then going directly to the ice surface. Mask to go back on when helmet is removed. It is recommended that coaches and instructors wear a mask, especially when they are not socially distanced from players etc.
7. No outside food or beverages can be brought in or consumed in the facility.
8. Physical Distancing is to be maintained throughout the facility. Participants need to enter through the right-hand front door and exit through the left-hand front door. Follow arrows and direction from staff when entering and exiting the facility and accessing the dressing rooms.
9. Participants should not arrive earlier than the time required to get dressed for their on ice activity, (30 minutes is acceptable) and should leave the facility as quickly as possible after rental has ended.
10. Lobby washrooms are available to parents and guardians. They are cleaned and sanitized twice per day as per Public Health.
11. YOU MUST STAY IN THE DRESSING ROOM UNTIL ICE IS READY FOR YOU TO GO DIRECTLY ON!
12. Dressing rooms will be available to participants, maximum of two dressing rooms per rental.
13. All participants should have their own labelled water bottle for on ice activity. Sharing of water bottles is not permitted.
14. On ice activities should be structured to avoid or minimize any physical contact.
15. SHOWERS ARE NOT TO BE USED AS THE PUBLIC HEALTH RECOMMENDS AGAINST ANY USE OF SHOWERS. Warm moist air will migrate out into the change room area.
16. Common touch points in dressing rooms are cleaned and sanitized after each use.

PLEASE NOTE: Everyone entering the facility will be doing so at their OWN RISK. People will need to identify their comfort level with entering public spaces given the current COVID-19 pandemic. Signage will be installed to notify persons entering the facility of our cleaning protocols etc. We are putting additional measures in place to assist with social distancing as you enter and exit.

IT WILL BE EVERYONE’S RESPONSIBILTY TO PROVIDE THEIR OWN PERSONAL PROTECTIVE EQUIPMENT AND PRACTICE EFFECTIVE PERSONNAL HYGIENE ETC.
